Adodesign Nexus Privacy Policy

This policy explains how Adodesign Nexus handles personal information, workspace data, customer and contact records, SMS consent data, cookies, retention, and security.

Who This Policy Covers

This policy applies to Adodesign Nexus users, workspace businesses, and customer/contact records managed inside those workspaces. When a workspace business sends transactional SMS through Nexus, the customer or contact receiving the message is the SMS subscriber. Nexus is a business tool: workspace businesses decide what customer information they enter, and they are responsible for having the right to use it.

Information We Collect

We collect account, workspace, contact, billing, usage, support, and communication information needed to operate Adodesign Nexus and provide connected CRM, operations, invoicing, expenses, reporting, automation, and messaging workflows. This may include customer names, email addresses, phone numbers, service details, invoices, estimates, work orders, payment records, and communication history entered by a workspace business. We also collect limited technical information automatically when you use the service — such as IP address, browser type, device information, and timestamps of activity — for security, session management, and reliability.

How We Use Information

We use information to provide the service, secure accounts, process billing, deliver customer-facing documents and notifications, support users, improve product reliability, and meet legal or compliance obligations. Transactional SMS may be used for operational updates such as invoices, estimates, payment notices, appointment or job updates, account notices, and related service communications. We do not sell personal information, and we do not use workspace data for advertising.

Cookies and Tracking

Nexus uses only essential cookies: a session cookie that keeps you signed in, a CSRF cookie that protects forms against forgery, and a preference value for your light/dark theme. We do not use advertising cookies, cross-site trackers, or third-party analytics cookies, and we do not sell or share browsing data. Because we do not track you across other websites, the service does not respond differently to browser “Do Not Track” signals — there is no cross-site tracking to turn off.

Service Providers (Subprocessors)

We rely on the following vendors to operate Adodesign Nexus. Each processes only the data needed to provide its service, under its own privacy policy, which we encourage you to read:

  • Stripe payment and subscription processing.
  • Telnyx SMS messaging.
  • OpenAI AI-assisted document reading and content-safety moderation.
  • Cloudflare R2 file and document storage.
  • Resend transactional email.
  • Sentry error monitoring.

SMS-related vendors may process phone numbers, message content, delivery status, opt-in status, and opt-out status only to provide messaging services requested by a workspace business or its customer. Payment card details are collected and processed by Stripe directly and never touch Nexus servers.

Data Retention

We retain workspace data for as long as the workspace account is active. You can export your data at any time from the settings area. When an account is closed, or on a verified deletion request, we delete or de-identify workspace data within a reasonable period, except where we must retain records to meet legal, tax, billing, or dispute-resolution obligations. Residual copies in encrypted backups age out on the backup rotation schedule.

Security and Breach Notification

We protect data with encryption in transit (TLS), hashed credentials, role-based access controls, and tenant isolation that scopes every database query to the workspace it belongs to. Payment card data is handled entirely by Stripe. No method of transmission or storage is completely secure, and we cannot guarantee absolute security. If a breach of security affecting personal information occurs, we will notify affected users and, where applicable, regulators in accordance with applicable law, including the Florida Information Protection Act (Fla. Stat. § 501.171), which requires notice to affected Florida residents without unreasonable delay and generally within 30 days.

Children's Privacy

Nexus is a business service. It is not directed to children under 13, and we do not knowingly collect personal information from children under 13. If you believe a child has provided us personal information, contact support and we will delete it.

Your Choices and Rights

SMS subscribers can reply STOP to opt out of SMS messages or HELP for assistance. Workspace users can view, correct, export, and delete business records inside Nexus, and can contact support to request access, correction, export, or deletion of account data. Where state privacy laws grant you rights over your personal information, we will honor verified requests as those laws require, and we will not discriminate against you for exercising them. We may need to verify your identity before acting on a request.

Changes to This Policy

We may update this policy as the service and the law evolve. The effective date at the top reflects the latest revision. For material changes, we will give notice in the product or by email before the change takes effect. Continued use of the service after the effective date constitutes acceptance of the updated policy.

Adodesign Nexus is operated by AdoDesign LLC from the State of Florida, United States. The service is offered for use by businesses in the United States and is governed by the laws of the State of Florida.
